General Summary

Provide administrative support to the Department Manager. Duties include general secretarial and administrative based work.

Job Duties And Responsibilities Include But Are Not Limited To:

1- Gives secretarial support to the Department Manager.

2- Manages the daily calendar and coordinates scheduled appointments.

3- Keep track of and Follows up on all pending and important issues

4- Screens incoming calls and correspondence and responds independently when possible.

5- Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.

6- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

7- Complete forms in accordance with company procedures.

8- Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revision

9- Prepares Power Point presentations once the material  is prepared

10- Prepares meeting’s agenda.

11- Records the minutes of all Board meetings as well as the minutes of any committees to which the Secretary is assigned, making sure that all actions are duly noted.

12- Keep a record of all policies approved by the Board in the association's policy manual

13- Ensures minutes are distributed to members shortly after each meeting

14- Maintains and establishes an updated filing system and database.

15- Prepares confidential correspondence and reports.

 16- Arranges detailed travel plans, routes, and gathers needed for travel-related meetings.

Job Requirements:

Education:

Bachelor Degree in any discipline

Previous Experience:

1-5 years.

Language:

Fluent in English.
